Ordering, Shipping, Resizing & Returns
Important details before we make your custom ring.
NinaVova specializes in custom engagement rings. Because each ring is made around a specific person, stone, design direction, size, timeline, and budget, our ordering and return policies are different from a standard online jewelry store.
Important: every custom engagement ring is made specifically for one client. We try to stay as flexible as possible throughout the process, but stone purchases, design work, production work, resizing, shipping, cancellations, and returns all have practical limits that should be understood before the project begins.
How ordering works
Most NinaVova rings do not begin by adding a product to a cart. They begin with a conversation. We talk through the design direction, stone ideas, metal choice, budget, timeline, ring size, and any personal details that may affect the project.
Once the direction is clear, the project can begin in one of two ways: with a $150 design deposit, or, if the client wants to move faster with stone sourcing, with a stone deposit. The choice depends on the client’s comfort level and how quickly they want to move.
Please do not assume a project is confirmed until the next step, payment, timeline, and general direction have been clearly agreed to in writing.
Timeline and rush requests
Custom engagement rings take time because the ring is being made for one specific person, not pulled from a shelf. Most projects require time for design, stone selection, CAD, casting, setting, finishing, inspection, and shipping.
If you have a proposal date or a strict deadline, tell us before the project begins. Rush timelines may be possible in some cases, but they depend on stone availability, design complexity, production schedule, and shipping requirements.
Rush fees may apply when a project requires expedited stone sourcing, faster production, overtime work, or upgraded shipping.
Payment and project approval
Every project starts either with a $150 design deposit or with a stone deposit to expedite the process. We do not require a large upfront payment simply to begin the custom-ring conversation.
The design deposit allows us to begin shaping the design direction, discussing proportions, preparing the concept, and moving the ring toward CAD or the next practical step. A stone deposit can be used when the client wants us to move faster with sourcing or securing a specific gemstone or diamond.
Once a stone is purchased, design work has begun, CAD has been created, or production work has started, payments connected to that work may become non-refundable. The remaining balance must be paid before the finished ring is shipped or delivered.
Domestic shipping
Domestic shipping is free. For shipments within the United States, finished rings are shipped by UPS 2-Day with tracking and signature confirmation.
Please provide a secure shipping address where someone can sign for the package. If you will be traveling or unavailable around the expected delivery window, tell us before the ring ships.
NinaVova is not responsible for delays caused by the carrier, incorrect shipping information provided by the client, missed delivery attempts, weather, or other situations outside our control.
International shipping
International shipping is free as well. We ship worldwide and regularly work with clients outside the United States, including Canada, the United Kingdom, and Italy.
The exact carrier, shipping speed, signature requirements, insurance process, and delivery timeline depend on the destination country and the value of the ring. We confirm the shipping details before the ring is sent.
The client is responsible for any customs duties, import taxes, brokerage fees, VAT, or local charges required by their country. Customs delays are outside NinaVova’s control.
Packaging and documentation
Your ring will be packaged carefully for presentation and safe transit. When a gemstone or diamond report is part of the purchase, the original report or applicable documentation will be included with the ring.
Documentation varies by stone. Some stones come with reports from labs such as GIA or AGL, while other stones may include supplier documentation or no separate lab report unless one is requested and arranged before purchase.
Ring size and resizing
It is important to choose the most accurate ring size possible before production begins. Some custom rings can be resized easily, while others have limitations because of engraving, side stones, unusual shanks, delicate details, or the structure of the design.
The first resizing is complimentary when resizing is possible for the specific ring. The client is responsible for shipping the ring back to us and for return shipping after resizing is complete.
Any additional resizing, or resizing that requires extra labor, additional metal, stone resetting, refinishing, or structural changes, will be evaluated case by case and may require an additional fee.
If you are unsure of the correct size, contact us before approving the final design.
Returns, exchanges, and cancellations
Custom engagement rings are made around one client’s stone, design, ring size, materials, and personal details. Because of that, they are not returnable or exchangeable like standard ready-made products.
Cancellation is possible up to 30 days after we purchase the stone. After that point, the stone purchase is not refundable. If the ring has not yet been made, we can deliver the stone by itself to the client instead of continuing with the finished ring.
If the finished ring does not meet expectations because the client wants something larger, expected a different direction, or thought the recipient would like one design but later wants something else, we will try to stay as flexible as possible. In many cases, we can redesign or adjust the ring for a minimum additional fee based on the work required.
Our goal is for the client to be happy with the final ring. At the same time, stone purchases, design work, CAD, casting, setting, labor, and shipping create real project costs, so some payments may not be refundable once that work has been completed.
A true craftsmanship issue is handled under our lifetime warranty. A change in preference, incorrect size information, proposal timing changes, or a change of mind is not considered a warranty issue.
Questions before you begin
If any part of the process, timeline, payment structure, shipping, resizing, cancellation policy, or final-sale policy is unclear, ask before the project starts. Custom work should feel personal, but the practical terms should also be understood clearly.
This policy applies unless different terms are agreed to in writing for your specific project.

The first resize is complimentary when possible, with shipping paid by the client. We stay flexible, but custom stones, design work, production work, and finished custom rings cannot be treated like standard returnable products.
